Tormano can sync with your inbox so emails sent from the CRM go through your real account, and replies come back automatically.
Why connect
- Replies land in your real inbox where you'll see them.
- Outbound CRM emails come from your real address, not a no-reply.
- The recipient can reply, forward, archive normally.
- Recent emails between you and a contact show on the contact's timeline automatically.
Supported providers
Two options, and you never type your real mail password into Tormano either way:
- Outlook / Microsoft 365 - one click, via Microsoft OAuth2.
- Gmail, iCloud, Yahoo, Fastmail, or any other provider - with an app password, a one-off password your provider generates for a single app and that you can revoke on its own. Gmail is here rather than under OAuth because Tormano deliberately does not request Gmail permissions from Google. That is a statement about Google, not about your mail: connected over IMAP with an app password, Tormano still reads your mailbox and stores a copy of your messages — subjects, full bodies, everyone on the To/Cc/Bcc lines, and the labels your provider put on them — kept 365 days by default and deleted when you disconnect. Tormano also stores the app password itself, encrypted, because the connection has to sign in again on every sync. The full detail is in the Privacy Policy at /privacy#mailbox-mirroring.
Connecting a mailbox is optional. Tormano sends campaign and transactional email through its own delivery service regardless; a connected mailbox is what adds reply-logging and sending from your own address.
Where to connect
Open Settings > Email Accounts (/settings/email-accounts) and click Connect.
For Outlook: pick Outlook / Microsoft 365, sign in, approve. For everything else: pick Gmail, iCloud, Yahoo, Fastmail or other, choose your provider (the dialog links straight to the page where you generate the app password), enter your address and that password, and click Connect mailbox. Pick Other if your mail is on a custom domain and enter the IMAP and SMTP server addresses your host gave you.
Tormano signs in to the mailbox to check it works before saving anything. If the credentials are wrong you get the provider's actual reason back - wrong password, wrong server - and nothing is stored.
What syncs
- Inbound and outbound messages between your address and any CRM contact.
- Auto-link to contact records by email address (including CC/BCC matches).
Privacy and isolation
Synced emails are visible only to you (or to your team if you mark them shared). Per-org isolation is strict - your emails don't leak to other Tormano orgs.
