Automation & AI

Automation with an audit trail.

Automation earns trust two ways: by actually firing when it should, and by showing its work when it does. Tormano's engine does both - a visual builder whose nine trigger types all fire in real time, actions that do real work including writes to QuickBooks, and an AI layer where every automated change is logged with its reasoning and undoable with one click.

The visual workflow builder

Thirty-one node types on a drag-and-drop canvas. Nine triggers, all firing in real time: record created or updated, field changed, stage changed, email opened or clicked, form submitted, date-based, scheduled, and manual. Control flow that matches how processes actually branch: If/Else with AND/OR condition groups, A/B splits for testing, parallel paths, goal nodes for early exit, and durable time delays that survive restarts - a workflow paused on a seven-day wait resumes exactly where it stood.

Before anything goes live, test mode dry-runs the workflow against a sample record through the real condition engine with zero side effects, reporting per step what would run, what would be skipped, and what is misconfigured. Version history snapshots every save and rolls back to any point. Execution logs record every run with its outcome.

Actions that do real work

Send email, create tasks and activities, update fields, assign owners, manage tags and lists, move deal stages, enroll contacts in sequences, call webhooks - and create QuickBooks invoices, estimates, or sales receipts directly from a workflow step. A won deal can invoice itself; a completed donation can book its own receipt trail. If a button or node exists, it performs the real operation - no decorative automation anywhere in the product. Six prebuilt templates (welcome series, deal follow-up, donation thank-you, renewal reminder, re-engagement, event follow-up) give you working starting points.

AI that shows its work

Every AI-driven change is logged with the old value, the new value, the confidence score, and the model's reasoning - and carries a one-click undo. If the model is wrong, the original comes back. That transparency layer is why the AI suite is safe to leave running.

The agent layer

On top of workflows sit autonomous agents that work the data continuously. Five proactive insight agents scan for deal risk, churn signals, pipeline momentum shifts, lapsing donors, and missing follow-up tasks - each insight actionable, snoozable, or dismissable, with an AI-generated digest summarizing what matters. The AI Email Agent drafts in five modes (follow-ups, smart replies, meeting summaries, donor thank-yous, scheduled touches), runs draft-only or auto-send per agent, and learns tone from what you accept. The data cleaning agent hunts duplicates, invalid emails and phones, stale records, and gaps, proposing confidence-scored fixes you can apply in bulk. Document processing runs uploads through a real OCR pipeline, extracts structured fields, classifies the document, and applies the data to the right record. And conversation intelligence turns meeting and video transcripts, and any notes you paste in, into topics, action items, objections, and risk signals.

Guardrails, not vibes

Per-workflow execution throttles, quiet hours on notifications, deal approval gates that actually block stage changes until approved, and the transparency log across every AI action.

Real-time means real-time

Triggers fire on the event, not on a nightly batch - a stage change launches its workflow in seconds, and date-based and scheduled triggers run on a 15-minute scheduler.

QuickBooks in the loop

Three native QuickBooks actions plus the sync itself mean automations end in the ledger, not in a to-do to update the ledger. Pair with the reconciliation workflow guide to see why that matters.

Sequences included

Multi-step email sequences with enrollment from workflows, list membership actions, and engagement-based exits.

Works for both variants

Business workflows speak deals and stages; nonprofit workflows speak donations, pledges, and volunteer shifts - same engine, correct vocabulary.

Availability

The workflow engine ships from Essentials (5 automations) through Growth (50) to unlimited on Business. The full AI agent layer ships on Business (B2B) and Professional (Nonprofit).

Three automations teams build first

The stalled-deal rescue

Stage unchanged for 14 days → notify the owner, create a follow-up task, and draft a re-engagement email for approval. Deals stop dying of silence.

The thank-you that books itself

Donation completed → personalized acknowledgment sent, tax receipt issued and numbered, sales receipt posted to QuickBooks, follow-up scheduled for the sustainer ask.

The renewal that never slips

Subscription or membership approaching renewal → reminder sequence starts, owner gets a task with the account's payment history, and the renewal invoice drafts itself on close.

Curious how this compares? Most rivals gate comparable AI behind add-ons or credits - see the Salesforce and HubSpot comparisons for the math.

Common questions

Do triggers really fire in real time?

Yes. All nine trigger types fire on the event itself - record and field changes, stage changes, email opens and clicks, and form submissions launch their workflows within seconds. Date-based and scheduled triggers evaluate on a 15-minute scheduler.

What can an automation do in QuickBooks?

Three native actions - create an invoice, an estimate, or a sales receipt - on top of the standing two-way sync. A workflow can take a won deal or completed donation all the way to the ledger without a human re-typing anything.

What happens when the AI gets something wrong?

You undo it. Every AI change is logged with the old value, new value, confidence, and reasoning, and carries a one-click undo that restores the original. Agents can also run in draft-only mode so nothing sends without approval.

Can I test a workflow before turning it on?

Yes. Test mode dry-runs the workflow against a sample record through the real condition engine with no side effects, showing per step what would run, what would be skipped, and what is misconfigured. Version history lets you roll back any save.

Which plans include what?

Workflows ship on every plan - 5 automations on Essentials, 50 on Growth, unlimited on Business; nonprofit tiers scale similarly. The full AI agent layer (proactive insights, email agent, data cleaning, document processing, conversation intelligence) ships on Business and Professional.
