Tormano detects duplicates automatically by email, phone, and name similarity. The full deduplication tool is at Data > Merge Duplicates.
How detection works
The dedup engine scans contacts and groups likely duplicates by:
- Email match (highest confidence)
- Phone match
- Name + same company match
- Fuzzy name match with shared activity history
Each group gets a confidence score. You can configure thresholds in Settings > Data Compliance > Deduplication Rules.
Reviewing and merging
For each duplicate group, the merge UI shows all candidates side by side. For every conflicting field (different emails, different addresses), pick which value wins. Tormano supports field-level resolution — you don't have to commit to one record being the "winner" for every field.
What gets preserved
- All activities, deals/donations, and notes from both records survive the merge.
- The losing record's ID is replaced by the winning record's ID in every relationship.
- Tags from both records are unioned.
- Custom field values use whichever you picked field-by-field.
What's irreversible
Merging is permanent. There's no automatic unmerge. Tormano writes an audit log entry for every merge so you can see what was combined.
Bulk merging
If you have hundreds of duplicates from a messy import, use Bulk Merge to auto-resolve groups where every field matches exactly. Manual review is still required for conflicts.
