Merging and deduplicating contacts

Find duplicates, review side-by-side, and choose which record survives.

Tormano groups likely duplicate contacts by email, phone, and name. The deduplication tool is at Data > Duplicates (the page itself is titled "Merge Duplicates"). A scheduled background scan also runs so duplicates surface on their own.

How detection works

The engine groups likely duplicates by:

  • Email match
  • Phone match
  • Name match (exact)
  • Similar name — a fuzzy match that shows a similarity percentage for each group

Reviewing and merging

Each duplicate group is shown side by side. You choose one record to keep with Keep This; that record becomes the survivor and its field values are retained. The other records in the group are merged into it.

What gets preserved

  • All deals, activities, donations, notes, and tags from the merged records move onto the record you kept.
  • Tags are combined without creating duplicates.
  • The kept record's own field values stay as they are.

Undoing a merge

Merges are reversible: the Recent merges list on the same page has an Undo for each merge, and undo restores the merged contact(s) within 30 days (records that moved to the kept contact stay there). Every merge is written to the audit trail.

Autonomous cleanup

For hands-off scanning and bulk cleanup across a messy database, use the Data Quality Agent (Data > Data Quality) instead of merging groups one at a time.
