Tax receipts and giving statements

Customize the donation receipt email and issue year-end giving statements.

Tormano can send donors a receipt for each gift and, at year end, a consolidated giving statement.

Per-gift receipts

The Tax Receipts tab (Donations > Tax Receipts) is where you generate, manage, and send receipts for donor contributions.

Customizing the receipt template

The receipt is an editable email template at Settings > Donation Receipts. Eleven fields are filled in for you when the receipt is sent:

  • {{donor_name}} - the donor's name
  • {{amount}} - the gift amount
  • {{deductible_amount}} - the deductible portion. For a cash gift this is the gross amount; for a non-cash gift it renders the phrase "determined by you as the donor", because IRS Publication 1771 does not let the charity put a value on donated property.
  • {{fair_market_value}} - the fair market value of anything the donor received in return. Renders "not recorded" when no value has been entered on the gift.
  • {{date}} - the gift date
  • {{transaction_id}} - the transaction reference
  • {{ein}} - your organization's EIN
  • {{org_name}} - your organization's name
  • {{goods_and_services}} - the goods-and-services statement required by IRS Publication 1771
  • {{tax_status}} - the tax-deductibility statement, drawn from your organization's tax-exempt status
  • {{frequency}} - one-time or recurring. Filled in when the gift has a frequency; it is not offered on the insert bar because most receipted gifts are one-time.

Keep the substantiation fields in the template

You can rewrite the body copy, but keep {{goods_and_services}}, {{deductible_amount}}, {{fair_market_value}} and {{tax_status}} in it. Those four are what make the receipt a valid written acknowledgment under IRS Publication 1771, and a receipt missing the goods-and-services statement can cost the donor the deduction on an otherwise perfectly good gift. If you delete them the receipt still sends - it just stops being one your donors can rely on.

The default template includes your logo and the statements above. Preview before you save; the preview resolves the same eleven fields the send does. Make sure your EIN and logo are set (Settings > Donation Receipts pulls them from your organization profile) so they render correctly.

Year-end giving statements

For the annual consolidated summary, use the Statements tab (Donations > Statements, /giving-statements). It lists households with a year selector; pick a year (statements default to the prior calendar year), preview the totals, and open a printable consolidated giving statement for that household.
