Building a volunteer database

Track skills, availability, background checks, and emergency contacts.

Volunteers are a specialized contact type in Tormano with extra fields for skills and scheduling. The Volunteers page (/volunteers) opens on the Volunteers tab and also has Dashboard, Schedule, and Hours tabs.

Creating a volunteer

A volunteer record is linked to a contact. Create one via + Quick Create > Volunteer, or add one from the Volunteers tab. The create form asks for the Contact, a Status (defaults to Active), Skills, and Notes.

Volunteer-specific fields

  • Skills — a free-text list you fill in (e.g. Event setup, Tutoring, Driving).
  • Availability — when the volunteer can serve.
  • Background check — a yes/no flag, plus an optional background check date for renewal tracking.
  • Emergency contact.

For anything the built-in fields don't cover, add your own in Settings > Custom Fields.

Volunteer dashboard

The Dashboard tab summarizes your program with four tiles — Total Volunteers, Active, Total Hours, and Pending Approvals — alongside a Top Volunteers leaderboard (ranked by hours) and Quick Actions for creating a shift or logging hours.
