A single meeting type can be booked by a whole team, and you can put guardrails on when and how often it can be booked.
Round-robin across a team
When you create or edit a meeting type, set Assignment to Round-robin (team) and check the teammates who should be in the pool. When someone books:
- Tormano excludes any host who already has a confirmed booking overlapping that slot.
- Among the rest, it picks the least-busy host (fewest upcoming confirmed bookings), so load is shared fairly.
- If no pool host is available, the booking falls back to the meeting type's owner, so a booking is never lost.
If you leave Assignment on Just me, every booking goes to you.
Minimum notice
Set Minimum notice (minutes) to stop last-minute bookings. Slots that start sooner than the notice window are hidden from the booking page, and a direct attempt to book one is rejected.
Other guards (per meeting type)
- Buffers before and after each meeting keep slots from butting up against each other.
- Daily cap limits how many of a meeting type can be booked in one day.
- Working hours define the weekly windows that slots are generated from.
A note on availability with round-robin
Today the booking page shows the owner's open times; the actual host is chosen at booking time and is always confirmed free. A future update will offer the combined availability of the whole pool.
